Privacy Policy

This policy explains what personal information SKEDS collects, how we use and share it, the choices you have, and the privacy rights that apply to you depending on where you live.

01Who we are

SKEDS is job scheduling and management software for trade businesses — including electricians, plumbers and other field-service teams. It lets you schedule staff, run and track jobs from the field, manage site safety, and create invoices that sync with accounting tools such as Xero and MYOB.

Because privacy laws differ by country, section 13 sets out additional rights and information for specific regions. Where a regional section conflicts with the rest of this policy, the regional section applies for people in that region.

02Our role: controller and processor

SKEDS handles personal information in two different roles, and your rights can depend on which applies.

When we act as a controller (or “business”). For information about the people who sign up for and administer a SKEDS account — and for visitors to our website — we decide how and why the information is used. That includes account, billing, support and website data.

When we act as a processor (or “service provider”). When a customer uses SKEDS to run their business, they enter information into the Service about their own staff, contractors, clients and jobs (“Customer Data”). For that Customer Data, the customer is the controller and decides how it is used; we process it on their behalf and under their instructions, in line with our agreement with them.

If your employer or a business you deal with uses SKEDS and you want to access, correct or delete information they hold about you, please contact that business directly. We will help them respond, but they control that information.

03Information we collect

Information you give us

  • Account and profile: name, business name, email address, phone number, role, password and account preferences.
  • Billing: billing contact, billing address, plan, tax identifiers (such as GST/VAT numbers) and the last digits and type of your payment card. Full card details are collected and stored by our payment processor, [Payment processor], not by us.
  • Support and communications: messages, attachments and feedback you send us, and records of our correspondence.

Customer Data you enter into the Service

When you use SKEDS to run jobs, you may enter or upload information such as: staff and contractor details and availability; client and site contact details; job details, notes, photos and documents; quotes, timesheets and invoices; and site-safety records such as hazard notes, checklists and sign-ins. This may include personal information about your staff and customers, which we process on your behalf.

Location information

The mobile field app can use device location to support features such as dispatch, routing, job check-in and on-site records. Where required, we ask for your permission first, and you can turn location access off in your device settings (some features may then not work).

Information we collect automatically

  • Device and connection data: IP address, device type and identifiers, operating system, app version and time-zone.
  • Usage data: features used, pages viewed, actions taken and diagnostic or crash logs, used to keep the Service reliable and secure and to improve it.
  • Cookies and similar technologies on our website — see section 06.

Information from third parties

If you connect an integration such as Xero or MYOB, we receive the information needed to sync invoices, contacts and related records. We may also receive limited information from analytics, advertising or sign-in providers you interact with, and from your business if they invite you to their account.

04How we use information

We use personal information to:

  • provide, operate and maintain the Service and its features;
  • set up and administer accounts and authenticate users;
  • process payments, manage subscriptions and send billing notices;
  • provide customer support and respond to your requests;
  • send service messages, security alerts and administrative notices;
  • send product news and marketing where permitted — you can opt out at any time;
  • monitor, secure, troubleshoot and improve the Service, and develop new features;
  • detect, prevent and address fraud, abuse and security incidents; and
  • comply with legal obligations and enforce our terms.

We do not sell personal information. See the region-specific sections for how “sale” and “sharing” are defined under some laws.

06Cookies and tracking

Our website uses cookies and similar technologies to keep the site working, remember your preferences, and understand how the site is used through analytics (such as [Analytics provider]). Essential cookies are needed for the site to function. Non-essential cookies are used only where permitted, and where the law requires it we ask for your consent and let you manage your choices through our cookie banner.

You can also control cookies through your browser settings. Our apps use limited on-device storage and identifiers to run the Service rather than website cookies.

07How we share information

We share personal information only as described here:

  • Service providers (sub-processors): trusted vendors who host, support and run the Service on our behalf — for example cloud hosting ([Cloud hosting provider]), payment processing, email delivery, customer support and analytics. They may only use the information to provide services to us.
  • Integrations you enable: when you connect a tool such as Xero or MYOB, information is shared with that provider to deliver the sync you set up — see section 08.
  • Within your business: Customer Data is visible to the account administrators and authorised users your business has set up.
  • Legal and safety: where we reasonably believe disclosure is required by law, or is needed to protect the rights, safety or property of SKEDS, our users or others.
  • Business transfers: in connection with a merger, acquisition, financing or sale of assets, subject to this policy.

08Third-party integrations

SKEDS connects with third-party tools such as Xero and MYOB so you can sync invoices, contacts and related records. When you enable an integration, you authorise the exchange of the information needed for it to work. Those providers handle your information under their own terms and privacy policies, which we do not control. Please review their policies before connecting, and you can disconnect an integration at any time from your account settings.

09International data transfers

SKEDS operates globally, so personal information may be stored and processed in countries other than your own, including [Hosting region] and the countries where our service providers operate. Privacy laws in those countries may differ from those where you live.

When we transfer personal information across borders, we use appropriate safeguards required by applicable law — for example the European Commission’s Standard Contractual Clauses (and the UK Addendum) for transfers from the EEA and UK, and equivalent protections for transfers from other regions. You can ask us for more detail using the contact information in section 16.

10How long we keep data

We keep personal information for as long as needed to provide the Service and for the purposes set out in this policy — for example, while your account is active and for a reasonable period afterwards. We keep some information longer where required to meet legal, tax, accounting or dispute-resolution obligations, after which we delete or anonymise it.

For Customer Data, we retain and delete information in line with our agreement with the customer and their instructions. When an account closes, Customer Data is deleted or returned within the period described in that agreement, subject to any legal retention requirements.

11How we protect data

We use technical and organisational measures designed to protect personal information, such as encryption in transit, access controls, authentication, monitoring and regular backups. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password confidential, use a strong and unique password, and tell us promptly if you suspect any unauthorised use of your account.

12Your privacy rights

Subject to your local law, you may have the right to:

  • access the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • delete information in certain circumstances;
  • object to or restrict certain processing;
  • receive a copy of certain information in a portable format;
  • withdraw consent where we rely on it; and
  • opt out of marketing at any time.

To exercise a right, contact us using section 16. We will verify your request and respond within the time required by law. We won’t discriminate against you for exercising your rights. If your information is Customer Data held by a business that uses SKEDS, please contact that business — see section 02.

13Region-specific rights

The following sections add to the rest of this policy for people in particular regions.

🇪🇺🇬🇧European Economic Area & United Kingdom (GDPR / UK GDPR)

You have the rights listed in section 12, including access, rectification, erasure, restriction, objection and data portability, and the right not to be subject to solely automated decisions with legal effects. Our legal bases are in section 05, and our transfer safeguards are in section 09.

You can lodge a complaint with your local data protection authority. In the UK that is the Information Commissioner’s Office (ico.org.uk). [If you have an EU/UK representative or Data Protection Officer, name them and their contact here.]

🇺🇸United States, including California

Depending on your state, you may have rights to know, access, correct, delete and obtain a portable copy of your personal information, and to opt out of “sale” or “sharing” of personal information and certain targeted advertising. We do not sell personal information for money, and we do not knowingly share it for cross-context behavioural advertising in a way that requires opt-out; where any such activity applies, you can opt out using the contact details in section 16.

Under the California Consumer Privacy Act (as amended by the CPRA), California residents may also request disclosure of the categories of personal information we collect, the sources, the business purposes, and the categories of third parties we disclose to, and may use an authorised agent to make a request. We will not discriminate against you for exercising these rights.

🇨🇦Canada (PIPEDA)

We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act and applicable provincial laws. You may request access to and correction of your personal information, and you may withdraw consent subject to legal and contractual limits. You can raise concerns with the Office of the Privacy Commissioner of Canada (priv.gc.ca).

🇦🇺Australia (Privacy Act 1988 / APPs)

We handle personal information in line with the Australian Privacy Principles. You may request access to and correction of your personal information. If you have a concern, contact us first using section 16; if you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au). Some personal information may be stored overseas, as described in section 09.

🇳🇿New Zealand (Privacy Act 2020)

We handle personal information in line with the Information Privacy Principles in the Privacy Act 2020. You may ask to access and correct your personal information. We will take reasonable steps to protect information sent overseas, consistent with Information Privacy Principle 12. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner (privacy.org.nz).

🇧🇷Brazil (LGPD)

We handle personal data in line with the Lei Geral de Proteção de Dados (LGPD). You may request confirmation of processing, access, correction, anonymisation, portability, deletion, and information about with whom we share data, and you may withdraw consent. You can contact the Brazilian data protection authority (ANPD, gov.br/anpd). [If you have appointed a data protection officer / encarregado, name them and their contact here.]

14Children's privacy

The Service is built for businesses and is not intended for children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.

15Changes to this policy

We may update this policy from time to time. When we do, we will change the “Effective date” above and, for material changes, give notice through the Service or by email where appropriate. Your continued use of the Service after an update means you accept the revised policy.
